How Oregon Certified & Qualified Interpreters' Network aligns operations with federal, state, and industry standards.
Oregon Certified & Qualified Interpreters' Network Inc. ("OCIN") maintains comprehensive compliance programs to protect clients, interpreters, and communities. We integrate regulatory requirements, professional ethics, and continuous quality improvement across every service we deliver.
Our compliance posture is anchored in the laws and standards that govern language access, data protection, and professional conduct. These include, but are not limited to:
OCIN's compliance committee oversees policy development, risk assessments, and partner obligations. Policies are reviewed at least annually, and updates are communicated to staff, contractors, and clients. We maintain documented Standard Operating Procedures (SOPs) for onboarding, scheduling, data handling, and ethical conduct.
Every interpreter undergoes credential verification, background screening, and ongoing performance evaluations. Compliance checkpoints include:
We implement administrative, technical, and physical safeguards proportionate to the sensitivity of the data we manage. These safeguards include secure portals, encryption, role-based access controls, multi-factor authentication, and monitored audit logs. Incident response plans define how we identify, contain, investigate, and report potential breaches in line with HIPAA and state notification rules.
OCIN collaborates with healthcare providers, courts, schools, and community agencies to ensure equitable access for Limited English Proficient (LEP) and Deaf or Hard of Hearing individuals. We support compliance with Title VI, Section 1557, and ADA obligations by delivering qualified interpreters, technology accommodations, and documentation supporting each encounter.
We conduct periodic internal audits, participate in external reviews, and provide mandatory training for employees and contractors. Topics include privacy, ethics, safety, cultural competency, and emerging regulatory updates. Findings inform corrective action plans that strengthen our service delivery.
Stakeholders can report suspected violations anonymously or directly through our compliance hotline or email. All reports are investigated promptly, with non-retaliation protections for interpreters, clients, and employees who raise concerns in good faith.
